Military Notifications
Using this report, the Notification on Changes in Personal Data (Application 4) is generated — a document that enterprises, institutions, and organizations must submit to the Territorial Recruitment and Social Support Center (TRSSC) when an employee who is a conscript, military liable person, or reservist has any changes in personal data relevant for maintaining military records.
Running the Report
Path: Military Service Reporting / Military Notification UA
The report allows generating both an individual notification for a specific employee and performing mass generation of notifications for employees grouped by their TRSSC based on their place of registration. It is also possible to generate a cover letter to the TRSSC to which the notification is submitted.
To generate the notification, you must specify the following parameters:
| Field | Description |
|---|---|
| Date From | The start date of the period from which employee data will be included in the report. Mandatory. Used to search for Hire, Transfer, or Termination operations when the notification is generated due to personnel events (hire, job title change, or dismissal). |
| Date To | The end date of the period up to which employee data will be included in the report. Mandatory. Used to search for Hire, Transfer, or Termination operations when the notification is generated due to personnel events. |
| Military Office | Specifies the code of the Territorial Recruitment and Social Support Center. Filled in when notifications need to be mass‑generated for employees assigned to a specific TRSSC. |
| All Unique Military Offices | Must be activated when notifications need to be mass‑generated for all employees assigned to any TRSSC. |
| Reason for Change Hire | Activate when the notification is generated due to hiring employees. |
| Reason for Change Job Title Change | Activate when the notification is generated due to transferring employees to another job title. |
| Reason for Change Dismissal | Activate when the notification is generated due to employee dismissal. |
| Cover Letter | Activate when a cover letter must be generated along with the notifications for a specific TRSSC or for all TRSSCs. This option can be activated only if either a specific TRSSC is selected or the “All Unique Military Offices” parameter is enabled. |
After clicking OK, an archive with the generated notifications is created. The archive structure depends on the selected parameters:
- If a specific Military Office is selected — an archive is created containing PDF files of notifications for employees whose Person Card contains the selected Military Office.
- If All Unique Military Offices is activated — the archive will contain several folders, one for each unique Military Office, and each folder will contain PDF files of notifications for employees assigned to that Military Office.
Operations for Which the Notification Is Generated
- If “Reason for Change Hire” is activated, the report searches for all Hire events within the selected date range. If a specific Military Office is selected, the report includes only employees hired within the date range and assigned to that Military Office. If All Unique Military Offices is activated, Hire events are searched for all employees who have a Military Office specified on their Person Card.
- If “Reason for Change Job Title Change” is activated, the logic is the same as for Hire, but the report searches for Transfer events with a job title change. If a transfer occurred but the job title did not change, no notification is generated.
- If “Reason for Change Dismissal” is activated, the logic is the same as for Hire, but the report searches for Termination events.
Multiple reasons for change may be selected at the same time. If a personnel event is selected, fields 7 and 8 of the notification will include the event type, event date, and details of the personnel order.
Generating Notifications for Other Types of Changes
To generate a notification for reasons not related to personnel events, you must deactivate all Reasons for Change.
In this case, the report will generate a notification without filling in fields 7 and 8 — these must be completed manually.
Cover Letter
If the “Cover Letter” parameter is activated, the archive for the corresponding Military Office(s) will include a PDF file with the cover letter.
The cover letter will contain:
- the details and address of the Military Office (taken from the Address Card linked to the Military Office in the Military Office directory);
- a list of all employees for whom notifications were generated;
- the total number of pages (attachments).
