Returns of Sales at the Beginning of System Operation
When starting to work in Business Central, users may encounter a situation where a customer returns a product that was sold and recorded in the previous system.
The user needs to create a return to the accounted sales document and an adjustment calculation to the sales invoice. However, these documents do not exist in the current system.
To address this issue, a mechanism called "Old Sales Returns" has been created.
Configuration
To enable proper accounting of such documents, you need to set the Allow Old Sales Returns flag in the Sales & Receivables Setup
Once the flag is set, the Old Sales Return Order field will become editable on the Sales Return Order.
Working with Old Sales Returns
- Fill in the header of the sales return document. Set the Old Sales Return Order flag.
- Manually create the return lines.
- Ensure correct filling of the Unit Cost field in the sales return line.
Note: The unit cost can be automatically populated with the average cost from the item card. However, the sales cost for the current return may be different, so it is recommended to verify the exact cost with the finance department.
Calculation of Adjustment for Old Sales Returns
The calculation of the adjustment for old sales returns can be created as a periodic task using the Reform VAT Inv. From Date function. However, this adjustment calculation will not reference the original sales invoice.
To work with such VAT documents, follow these steps:

Filter out from the Sales VAT Invoice List the Appendix 2 where the Applied Invoice No. field is not filled.

If the adjustment calculation is created from a credit memo with the Old Sales Return Order flag, use the "Create Blank Sales Invoice Header" function. The Applied Invoice No. field will be automatically populated.

In the created blank sales invoice, provide the following information:
- External Document No.
- Posting Date
- Registration Date
Then, post the created blank invoice.

In case of a partial sales return in a negative line, change the quantity to match the quantity in the original invoice (considering any quantity adjustments made to it). Create a positive line for the remaining quantity (copy the price and other settings from the negative line).

Manually fill in the following fields in the lines:
- "Index" - the line number for registration in the tax authority system
- "Group Index" - the group line number for registration in the tax authority system
- " Adjustment Reason Code"
