PIT-11 Information on Income from Other Sources and on Income and Collected Advance Payments on Income Tax

The system allows generating an annual PIT-11 declaration for subsequent submission in XML format to the relevant authority, as well as printing the completed PIT-11 in PDF/Word format.

Step 1: Declaration Generation Setup

On the Human Resources Setup page, in the "Numbering" tab, in the PIT-11 Declaration No. Series field, specify the number series code that will be used to generate the declaration.

On the Payroll Reports Setup page, in the Poland Reporting tab, in the "Calculation Declaration" area, settings have been created for generating the PIT-11 declaration (in the PIT-11 field). Settings are created for declaration sections marked with letters:

  • Part E - taxpayer income, collected advance payments, and collected contributions;
  • Part G - information on income exempt from tax.

Before generating declarations for employees, you must fill in Employee Addresses on the person card. If the residential address is not filled in, the system will use the registered address for the PIT declaration. Additionally, on the Employee Addresses page, in the Residential / Registered address card, the Tax Authority Code field must contain the employee's tax authority code, which will be indicated in the generated report.

Step 2: Starting Declaration Generation

The declaration is launched from the PIT-11 Declaration page using the Create Report button.

PIT-11 Declaration launch page:

Payer/Person Designated to Calculate and Collect TaxSpecify the employee whose data will be transferred to the printed report form in indicator 124. First name, last name, signature or imprint with first name, last name, and job title. If the person responsible for creating/submitting the declaration is not employed in the organization, you can leave this field empty, and after creating the declaration, enter the first name, last name, and position of the responsible person in the header of the created declaration.

After clicking the OK button, the system will generate main declarations with "Attachment Type" A-E and F-G with appropriately filled fields. The report can be opened by placing the cursor on the specific Attachment Type A-E / F-G and clicking Report. If necessary, the system allows editing values in the fields, but you should verify the correctness of the entered data before releasing the Declaration.

When generating a correction declaration, the Reason for Filing Correction field must be filled in. This information will be transmitted to the ORD-ZU form and to the XML file.

Declarations can be deleted using the Delete button after placing the cursor on the selected declaration.

For a created declaration, you can generate a printed form in PDF/Word format. To do this, click Actions / Print PIT-11 and Actions / Print ORD-ZU (in case of a correction declaration) on the PIT-11 Declaration page.

Step 3: Exporting the PIT-11 declaration to XML

The declaration can be exported using the Actions / Export to XML button after placing the cursor on the PIT-11 declaration. Before exporting, the PIT-11 declaration must have the Released status. The declaration list provides bulk operations for multiple selected records:

  • bulk Release – simultaneous release of multiple declarations,
  • bulk Reopen – simultaneous reopening of multiple declarations.

The file must be saved and uploaded to the appropriate software used to sign and send the complete XML file to the Ministry of Finance gateway.

The generated file is also validated for required fields. The user receives a notification if any data has not been filled in. Files containing incomplete information are not exported to XML.

Please note that negative values are not transmitted to the XML file.

It is possible to bulk export PIT-11 reports to XML files for multiple selected declarations. After using the export function, the system generates files for all selected persons and saves them in a single ZIP archive. File names are created automatically using the scheme: PIT-11_year_LastName_FirstName.

After exporting the PIT-11 to XML, the e-Declaration Status field changes to Downloaded. Additionally, you can see the declaration export date in the Download Date field.

Step 4: Printing the PIT-11 Declaration

The declaration can be printed or saved to a file in PDF or Word format. To do this, select the appropriate PIT-11 declaration, then choose Actions → Print PIT-11 / Print ORD-ZU.

It is possible to simultaneously generate PDF files for multiple PIT-11 declarations and download them in a single ZIP archive. After selecting the desired items using the Select More option, you can start printing declarations. The system generates a separate PDF file for each declaration and packages them into a single ZIP file. File names are created automatically using the scheme: PIT-11_year_LastName_FirstName.

Step 5: Employee Card

The system allows viewing employee declaration data from their card. In the PIT-11 Declaration section, a list of all issued PIT-11 declarations for the corresponding Person is displayed.

The employee declaration card can be displayed using the Report button.
