Revenue Service Waybills

Waybill is an accounting document that confirms the delivery of goods within the country. Without this document, the transportation, storage, and sale of goods are prohibited. Business Central has the opportunity of creating waybills or attaching them to the documents of sale, purchase, internal transfer, and returns of sold/purchased goods.

Setup

  1. For integration with Georgian Revenue Service (RS.GE) we should have filled field VAT registration No. on the page Company Information.
  2. On the page User Setup, for users should be filled fields RS.GE Login and RS.GE password with the credentials of an active RS.GE user. To have an access on the integration with RS.GE all of the users should have filled correct credentials. If even one out of the users in the list has the incorrect user name or password, none of them will be able to work with integration.
  3. On the page Tax Setup GE should be filled section RSGE Integration with the relevant information.
  4. On the page RSGE Unit Of Measure Setup user can match the unit of measure of BC to units of measure on RS.GE.
  5. Initially, user can import and update a list of units of measures from RS.GE by clicking on the button “Show Units”, which opens the page RS.GE Unit Of Measure and after clicking the button "Load Units of Measure".
  6. On the page RSGE Cross Reference, user can add barcodes for concrete vendor’s items, to match them with the ones in BC. It is also available to add Cross Reference from Receipt Waybill, with Operation Type "Purchase", by clicking on button "Create Cross Reference".
  7. User, who should work with sales/purchases/transfers and with related waybills, should be added as a warehouse employee on the page Warehouse Employees.

Drivers and Vehicles directories

To maintain a directory of drivers in Business Central, a directory of contacts is used. To add a contact card as a driver, do the following:

  1. Choose the Search icon, enter Contacts, and then choose the related link.
  2. Click New to create new contact card.
  3. In the Type field, select Person.
  4. In the Driver field, select YES.
  5. Select YES in the Foreign Citizen field if the driver is a foreign citizen.
  6. Enter the driver's ID number in the VAT Registration No. field.
  7. Fill in the Name field manually or you can download a driver's name from the RS.GE portal using the Load Name To Driver function.

In all documents where you need to indicates the driver you will be able to choose it from the contact list.

To maintain an automobile directory, pages Vehicles and Vehicle Models is used.
On the Vehicle Models page, you can add different vehicle models and specify their dimensions.

To add a specific car to the directory, do the following:

  1. Choose the Search icon, enter Vehicles, and then choose the related link.
  2. Click New to create new vehicle card.
  3. On the Vehicle card, fill in the fields:
FieldDescription
Registration numberEnter the vehicle registration number.
No Vehicle ModelSelect the required vehicle model from the Vehicles Models list. Fields Type of vehicle, Model and Brand will be filled in automatically.
Vin codeEnter the vehicle VIN code.
Year of productionEnter the vehicle year of production.
Driver No.Select the driver number from the list of drivers.
Driver NameThis field will be automatically fill in after choosing value in the Driver No. field.

In all documents where you need to indicates the automobile registration number, when you select a value in the Automobile Registration No. field, information about the driver is automatically pulled up if there is a vehicle-driver connection, and vice versa, when a driver is selected, the automobile number is pulled up.

Sale of Goods

Every scenario related to the sales of goods creates the Waybill automatically only when, creating the sales shipment document. If users want to create waybills on RS.GE, they can import them into the Business Central and attach them to the sales or sales shipment documents. Below is described the features related to the sale’s waybill management in Business Central.

Automatic creation of the waybills via Sales Order posting

  1. Choose the Search icon, enter Sales orders, and then choose the related link.

  2. To create new a document, click the button New and fill in the fields, as necessary. For more information about Sales Order see the following document To create a sales order.

  3. Check and fill in the necessary fields for the waybill, such as: Wybill Type, Transportation Type, Driver No., Automobile registration No. If the user does not fill in this information, it needs to be filled in manually on the waybill card. For more information about fields related to the waybills, see the document Revenue Service Waybills' Fields.

  4. Click the Post action, choose the Ship or Ship and Invoice option, and then choose the "OK" button.

  5. Check the Posted Sales Shipment in section NAVIGATE, by clicking the button Shipment.

  6. To be sure that a waybill has been automatically created:

    • check the Sales Order’ s bottom section named “Waybill” or the FactBox’s section “Assigned Waybill”, if sales order is not posted yet, or

    • check the Posted Sales Shipment’ s bottom section named “Waybill” or the FactBox’s section “Assigned Waybill”, if the sales order is already posted.

  7. To export created waybill from BC to RS.GE:

    1. Choose the Search icon, enter Shipment Waybills, and then choose the related link.
    2. Open the desirable waybill and, fill in Transportation starting address.
    3. Click the button “Save and Send” on the ribbon.
  8. To be sure that the waybill has been sent to the RS.GE you can check the fields: ID and Waybill No., which appear after the waybill is exchanged to the RS.GE portal.

Automatic creation of the waybills for Sales Order via Warehouse Shipment posting

  1. Choose the Search, enter Sales orders, and then choose the related link.

  2. To create new a document, click the button New and fill in the fields, as necessary. For more information about Sales Order see the following document To create a sales order.

  3. Check and fill in the necessary fields for the waybill, such as: Wybill Type, Transportation Type, Driver No., Automobile registration No. If the user does not fill in this information, it needs to be filled in manually on the waybill card. For more information about fields related to the waybills, see the document Revenue Service Waybills' Fields.

  4. To change the status of document from Open to Released, in the ribbon choose the action Release.

  5. To create the Waybill:

    1. Go to the ribbon section ACTIONS and to create Warehouse Shipment, click the button “Create Warehouse Shipment”.
    2. Check the Warehouse Shipment in section NAVIGATE, by clicking the button “Warehouse Shipment Lines”.
    3. Open the Warehouse Shipment document with the button “Open Whse. Document”
    4. From the ribbon, click the “Post Shipment” and choose Ship or Ship and Invoice.
  6. To be sure that a waybill has been automatically created:

    1. Check the Sales Order’ s bottom section named “Waybill” or the FactBox’s section “Assigned Waybill”, if sales order is not posted yet, or
    2. Check the Posted Sales Shipment’ s bottom section named “Waybill” or the FactBox’s section “Assigned Waybill”, if the sales order is already posted.
  7. To export created waybill from BC to RS.GE:

    1. Choose the Search icon, enter Shipment Waybills, and then choose the related link.
    2. Open the desirable waybill and, fill in Transportation starting address.
    3. Click the button “Save and Send” on the ribbon.
  8. To be sure that the waybill has been sent to the RS.GE you can check the fields: ID and Waybill No., which appear after the waybill is exchanged to the RS.GE portal.

Note
After posting the warehouse shipment, it disappears and program creates document Posted Sales Shipment with the waybill.

Automatic creation of the Sales Order based on imported waybill from RS.GE

To Import Waybills from RS.GE:

  1. Choose the Search icon, enter Shipment Waybills, and then choose the related link.
  2. Click the button “Load Waybills” if you want to import all the shipment waybills, or
  3. Click the button “Import by Number” to import only one waybill, using it’s unique ID (Waybill No.), which is generated on RS.GE.

To create Sales Order, open the desired waybill (Type of Operation: Sale) and in the ribbon line, click the button “Create Order”.

  1. Choose the Search icon, enter Shipment Waybills, and then choose the related link.

To attach waybills to the Sales Order (With status: Released or Open):

  1. Open desired Waybill.
  2. In the ribbon click the button “Assign Document”, or see the line sector “Assigned Line”.
  3. Choose Document Type: Released.
  4. Open the Document No. list.
  5. Choose the desired Sales Order (With the status: Open or Released) and click on the button “OK”.
  6. To check the attached Sales Order, see the section “Assigned Line”.

Attaching of imported waybills to the Posted Sales Shipment in BC

To Import Waybills from RS.GE:

  1. Choose the icon Search icon, enter Shipment Waybills, and then choose the related link.
  2. Click the button “Load Waybills” if you want to import all the shipment waybills, or click the button “Import by Number” to import only one waybill, using it’s unique ID (Waybill No.), which is generated on RS.GE.

To attach waybills to the Posted Sales Shipment:

  1. Open desired Waybill:
  2. In the ribbon click the button “Assign Document”, or see the section “Assigned Line”.
  3. Choose Document Type: Posted
  4. Open the Document No. list
  5. Choose the desired Posted Sales Shipment and click on the button “OK”.
  6. To check the attached Posted Sales Shipment, see the section “Assigned Line”.

Note
This kind of scenario happens, when a company shipped goods partially or posted Sales Shipment document (which means creating Waybill too) and for some reason, they deleted waybill from the Posted Sales Shipment document. Only in this case user can attach the new imported waybill to the Posted Sales Shipment.

Note
After posting the warehouse shipment it disappears and program creates document Posted Sales Shipment with the waybill.

Return of Goods Sold

In the case of a return, we don’t control the shipment process and the returned goods should be receipted from a certain location. A waybill is created automatically on the release of the sales return document. As in the first business process scenarios, users can create waybills on RS.GE and import them into the Business Central, after which they can attach them to the sales return or sales return receipt documents.

Automatic creation of the waybills via release of Sales Return Order

  1. Choose the Search icon, enter Sales Return Orders, and then choose the related link.

  2. To create new a document, click the button “New” and fill in the fields, as necessary. For more information about Sales Return Order see the document Process Sales Return Orders.

  3. Check and fill in the necessary fields for the waybill, such as: Transportation Type, Driver No., Automobile registration No. If the user does not fill in this information, it needs to be filled in manually on the waybill card. For more information about fields related to the waybills, see the document Revenue Service Waybills' Fields.

  4. To change the status of documents from Open to Released, click the Release action.

  5. To be sure that waybill has been automatically created, check the Sales Return Order’s bottom line named as “Waybill”.

  6. To export created waybill from BC to RS.GE:

    1. Choose the Search icon, enter Shipment Waybills, and then choose the related link.
    2. Open the desirable waybill and, fill in Transportation starting address.
    3. Click the button “Save and Send” on the ribbon.
  7. To be sure that the waybill has been sent to the RS.GE you can check the fields: ID and Waybill No., which appear after the waybill is exchanged to the RS.GE portal.

Automatic creation of Sales Return Order based on imported waybill from RS.GE

To Import Waybills from RS.GE:

  1. Choose the Search icon, enter Shipment Waybills, and then choose the related link.
  2. Click the button Load Waybills if you want to import all the shipment waybills, or click the button Import by Number to import only one waybill, using it’s unique ID (Waybill No.), which is generated on RS.GE.
  3. To create Sales Return Order, open the desired waybill (Type of Operation: Sale, Type: Return) and in the ribbon line, click the button Create Order.
  4. To check the created Sales Return Order, see the waybill’s section “Assigned Line”.

  5. Choose the desired Sales Return Order (With the status: Open or Released) and click on the button “OK”.
  6. To check the created Sales Return Order, see the waybill’s section “Assigned Line”.

  1. Choose the Search icon, enter Shipment Waybills, and then choose the related link.

To attach waybills to the Posted Sales Return Receipt:

  5. Choose the desired Posted Sales Return Receipt and click on the button “OK”.
  6. To check the created Sales Return Receipt, see the waybill’s section “Assigned Line”.

Purchase of Goods

In purchase process the vendor creates the waybill, which can be imported to the Business Central. Based on the imported waybill user can create purchase document or attach it to the existed purchase or purchase receipt document. Automatic creation of the Purchase Order based on imported waybill from RS.GE

To Import Waybills from RS.GE:

  1. Choose the Search icon, enter Receipt Waybills, and then choose the related link.
  2. Click the button “Load Waybills” if you want to import all the receipt waybills, or click the button “Import by Number” to import only one waybill, using it’s unique ID (Waybill No.)
  3. To create Purchase Order, open the desired waybill (Type of Operation: Purchase) and in the ribbon line, click the button “Create Order”.
  4. To check the created Purchase Order, see the waybill’s section “Assigned Line”.

Automatic attachment of the Posted Purchase Receipt based on imported waybill from RS.GE

After downloading the Receipt Waybill, Automatic Attachment function should be used for the automatical attacchment of the selected receipt waybill to the existing Posted Purchase Receipt. The system goes through the posted purchase invoices, uses the Vendor VAT Registration No, Amount Including VAT and compares the receipt waybill and posted purchcase document information, if there is a match of mentioned requisits, taking into account the permissable deviation from Tax Setup GE, then finds the linked Posted Purchase Receipt, checks if Used in Waybill=NO and compares the document item line information according to Type, Item No, Quantity and UOM. If all field information matches then the posted purchase receipt is attached to receipt waybill.

Note. In order automatic attachment to work the following should be met in the system:

  1. In purchase document only item and FA can be indicated.
  2. Automatic assignement will be done only according to one document.
  3. RS Cross References should be filled for all items.

  1. Choose the Search icon, enter Receipt Waybills, and then choose the related link.
  2. Click the button “Load Waybills” if you want to import all the receipt waybills, or click the button “Import by Number” to import only one waybill, using it’s unique ID (Waybill No.), which is generated on RS.GE.

To attach waybills to the Purchase Order:

  1. Open desired Waybill:
  2. In the ribbon click the button “Assign Document”, or see the section “Assigned Line”.
  3. Choose Document Type: Released.
  4. Open the Document No. list.
  5. Choose the desired Purchase Order (With the status: Open or Released) and click on the button “OK”
  6. To check the attached Purchase Order, see the section “Assigned Line”.

Internal Transfer of Goods



Every scenario related to the transfer of goods creates the Waybill automatically only when, creating the transfer shipment document. If users want to create waybills on RS.GE, they can import them into the Business Central and attach them to the transfer or transfer shipment documents. Below is described the features related to the transfer’s waybill management in Business Central.

Automatic creation of the waybills via Transfer Order posting

  1. Choose the Search icon, enter Transfer Orders, and then choose the related link.

  2. To create new a document, click the button “New” and fill in the fields, as necessary. For more information about Transfer Order visit the document Transfer Inventory Between Locations.

  3. Check and fill in the necessary fields for the waybill, such as: Transportation Type, Driver No., Automobile registration No. If the user does not fill in this information, it needs to be filled in manually on the waybill card. For more information about fields related to the waybills, see the document Revenue Service Waybills' Fields.

  4. Click the Post action and then choose the "OK" button.

  5. Check the Posted Transfer Shipment in section NAVIGATE, by clicking the button “Shipment”.

  6. To be sure that a waybill has been automatically created:

  7. Check the Transfer Order’ s bottom section named “Waybill” or the FactBox’s section “Assigned Waybill”, if transfer order is not posted yet, or

  8. Check the Posted Transfer Shipment’ s bottom section named “Waybill” or the FactBox’s section “Assigned Waybill”, if the transfer order is already posted.

  9. To export created waybill from BC to RS.GE:

  10. Choose the Search icon, enter Shipment Waybills, and then choose the related link.

  11. Open the desirable waybill and, fill in Transportation starting address.

  12. Click the button “Save and Send” on the ribbon.

  13. To be sure that the waybill has been sent to the RS.GE you can check the fields: ID and Waybill No., which appear after the waybill is exchanged to the RS.GE portal.


Automatic creation of waybills for Transfer Order via Warehouse Shipment posting

  1. Choose the Search icon, enter Transfer Orders, and then choose the related link.

  2. To create new a document, click the button “New” and fill in the fields, as necessary. For more information about Transfer Order visit the document Transfer Inventory Between Locations.

  3. Check and fill in the necessary fields for the waybill, such as: Transportation Type, Driver No., Automobile registration No., If the user does not fill in this information, it needs to be filled in manually on the waybill card. For more information about fields related to the waybills, see the document Revenue Service Waybills' Fields.

  4. To change the status of document from Open to Released, in the ribbon choose the action Release.

  5. To create the Waybill:

  6. Go to the ribbon section ACTIONS and to create Warehouse Shipment, click the button “Create Warehouse Shipment”.

  7. Check the Warehouse Shipment in section NAVIGATE, by clicking the button “Warehouse Shipment Lines”.

  8. Open the Warehouse Shipment document with the button “Open Whse. Document”

  9. From the ribbon, click the “Post Shipment” and choose Ship or Ship and Invoice.

As in a previous scenario, we can find the waybill in Posted Transfer Shipment’s or Transfer Order’s bottom line named as “Waybill”.

  1. To export created waybill from BC to RS.GE:

  2. Choose the Search icon, enter Shipment Waybills, and then choose the related link.

  3. Open the desirable waybill and on the ribbon, click the button “Save and Send”.

Note. After posting the warehouse shipment, it disappears and program creates document Posted Transfer Shipment with the waybill.

Note. This kind of scenario happens when a company is using Advanced Warehousing. More about Advanced Warehousing you can see the document Warehouse Management.


Automatic creation of the Transfer Order based on imported waybill from RS.GE

  1. To Import Waybills from RS.GE:

  2. Choose the Search icon, enter Shipment Waybills, and then choose the related link.

  3. Click the button “Load Waybills” if you want to import all the shipment waybills, or

  4. Click the button “Import by Number” to import only one waybill, using it’s unique ID (Waybill No.), which is generated on RS.GE.

  5. To create Transfer Order:

  6. Open the imported waybill (Type of Operation: Internal Transfer; Type: Internal Shipment)

  7. Go to the Line section “Shipment” and fill in the fields Transfer-From Code and Transfer-To Code.

  8. Go to the ribbon and click the button “Create Order”.

  9. To check the created Transfer Order, see the waybill’s section “Assigned Line”.

Note. With this business scenario transfer code deppends on fact, if Transfer-From and Transfer-To Codes have attached In-Transit Code on the page Transfer Route or not. If they are matched on Transfer Route Matrix, in Transfer Order the field In-Transit Code will come automatically from the Transfer Route page. If -not, program will search for the first Location which has marked as “Use As In-Transit” and takes it automatically.


Attaching of imported waybills to the Posted Transfer Shipment in BC

  1. To Import Waybills from RS.GE:

  2. Choose the Search icon, enter Shipping Waybills, and then choose the related link.

  3. Click the button “Load Waybills” if you want to import all the shipment waybills, or

  4. Click the button “Import by Number” to import only one waybill, using it’s unique ID (Waybill No.), which is generated on RS.GE.

  5. To attach waybills to the Transfer Order/Direct Transfer:

  6. Open desired Waybill:

  7. Fill in the fields Transfer-From and Transfer-To Codes, in line section “Shipment”

  8. In the ribbon click the button “Assign Document”, or

  9. See the section “Assigned Line”.

  10. Choose Document Type: Released

  11. Open the Document No. list

  12. Choose the desired Transfer Order or Direct Transfer (with status: Open or Released) and click on the button “OK”

  13. To check the attached Transfer Order or Direct Transfer, see the section “Assigned Line”.


Attaching of imported waybills to the Posted Transfer Shipment in BC

  1. To Import Waybills from RS.GE:

  2. Choose the Search icon, enter Shipping Waybills, and then choose the related link.

  3. Click the button “Load Waybills” if you want to import all the shipment waybills, or

  4. Click the button “Import by Number” to import only one waybill, using it’s unique ID (Waybill No.), which is generated on RS.GE.

  5. To attach waybills to the Posted Transfer Shipment:

  6. Open desired Waybill:

  7. Fill in the fields Transfer-From and Transfer-To Codes, in line section “Shipment”

  8. In the ribbon click the button “Assign Document”, or

  9. See the section “Assigned Line”.

  10. Choose Document Type: Posted

  11. Open the Document No. list

  12. Choose the desired Posted Transfer Shipment and click on the button “OK”

  13. To check the attached Posted Transfer Shipment, see the line section “Assigned Line”.

Note. This kind of scenario happens, when a company shipped goods partially or posted Transfer shipment (which means creating Waybill too) and for some reason, they deleted waybill from the Posted Transfer Shipment document. Only in this case user can attach the new imported waybill to the Posted Transfer Shipment.

Note. For using Transfer Order document user should set up the In-Transit location on Page Transfer Routes.


Export of Goods



If ordinary sale's waybill is an accounting document that confirms the delivery of goods within the country. In this case waybill needed for transportation from company's warehouse to the custom location. Because of this specific, in Business Central we have waybill's type of operation - "Sale" and Waybill type as "Internal Shipment". On RS.GE portal it sends the ordinary internal transfer waybill.

Automatic creation of waybills (With waybill type: Internal Shipment) via Sales Order posting

  1. Choose the Search icon, enter Sales orders, and then choose the related link.

  2. To create new document, click the button “New” and fill in the fields as necessary.

  3. Go to the section “Waybill” and in field “Waybill Type” choose Internal Shipment.

  4. Click the Post action, choose the Ship or Ship and Invoice option, and then choose the “OK” button.

  5. Check the Posted Sales Shipment in section NAVIGATE, by clicking the button “Shipment”.

  6. To be sure that a waybill has been automatically created:

  7. Check the Sales Order’ s bottom section named “Waybill” or the FactBox’s section “Assigned Waybill”, if sales order is not posted yet, or

  8. Check the Posted Sales Shipment’ s bottom section named “Waybill” or the FactBox’s section “Assigned Waybill”, if the sales order is already posted.

  9. To export created waybill from BC to RS.GE:

  10. Choose the Search icon, enter Shipment Waybills, and then choose the related link.

  11. Open the desirable waybill and, fill in Transportation starting address.

  12. Click the button “Save and Send” on the ribbon.

  13. To be sure that the waybill has been sent to the RS.GE you can check the fields: ID and Waybill No., which appear after the waybill is exchanged to the RS.GE portal.


Automatic creation of the Sales Order (With waybill type: Internal Shipment and Operation Type: Sale) based on the imported waybill from RS.GE

  1. To Import Waybills from RS.GE:

  2. Choose the Search icon, enter Shipment Waybills, and then choose the related link.

  3. Click the button “Load Waybills” if you want to import all the shipment waybills, or

  4. Click the button “Import by Number” to import only one waybill, using it’s unique ID (Waybill No.), which is generated on RS.GE.

  5. To create Sales Order for export:

  6. Open the waybill, which was created on RS.GE with Type of Operation: Internal Transfer and with Type: Internal Shipment.

  7. Change the type of operation from Internal Transfer to Sale and leave the Type: Internal Shipment unchanged.

  8. Fill in the information about Customer and Locations

  9. In the ribbon line, click the button “Create Order”.


Import of Goods



When there is an import of goods, we must create a purchase order, post it and when the items come to the custom location, transfer them from custom location to the company’s warehouse by Transfer Order. So, first step in all scenarios is creating Purchase Order. For more information about custom declarations and import related taxes, visit the link.

  1. To create Purchase Order

  2. Choose the Search icon, enter Purchase Order, and then choose the related link

  3. Click the button “New”

  4. In the section General fill in the field CD. No. by the virtual CD number

  5. In the section General fill in the field CD Header No. by the virtual CD Header.

  6. In Line section add Item and Charge (Item) (If necessary)

  7. To generate information about unique LOT, click the button “Assign LOT. No”

  8. Click the button “Create Tracking Information” to prepare tracking lines for Custom declaration

  9. Click the button “Create CD No. Information” for moving all the information about LOT and Item Tracking, from the purchase order document’s lines to the Customer Declaration (which is indicated in the section General, field CD Header No.

  10. To check information about item tracking and LOT, go to the section Lines, stand on the desirable item line, click the button “Line” and subline “Item Tracking Lines”

After Items arrive to the Custom Location

  1. To post Purchase Order:

  2. Go to the ribbon line of the Purchase Order click the button “Post”

  3. Choose the action Receive if Invoice is already posted or

  4. Choose the action Receive and Invoice

Automatic creation of the waybills for import of goods, via Transfer Order posting

  1. Create Transfer Order

  2. Choose the Search icon, enter Transfer Order, and then choose the related link

  3. Click the button “New”

  4. In the section General fill in the field CD Header No. by the real CD Header.

  5. In the section General fill in the field CD Number by old CD No. (which was indicated in the Purchase Order)

  6. In the section General fill in the field New CD Number by new CD No.

  7. To fill the information about Lines

  8. Click the button “Get Purchase Receipt Lines”

  9. Or fill in the section Lines manually

  10. To transfer tracking information from virtual Custom Declaration to the real one, click the button “Create CD No. Information”.

  11. Click the Post action, choose the Ship option, and then choose the OK button.

  12. Check the Posted Transfer Shipments in section NAVIGATE, by clicking the button “Shipment"

  13. To be sure that waybill has been automatically created, check Posted Transfer Shipments’ or the Transfer Orders’ bottom line named as “Waybill”.

  14. To create Waybills for import of goods:

  15. Choose the Search icon, enter Shipment Waybills, and then choose the related link.

  16. Click the button “New”

  17. Change Type of Operation to Internal Transfer

  18. Indicate “Yes” in the field Purchase on Import

  19. Fill in information about Items and Vendor

  20. Click the button “Create Order”

  21. To export created waybill from BC to RS.GE:

  22. Choose the Search icon, enter Receipt Waybills, and then choose the related link.

  23. Open the desirable waybill and on the ribbon, click the button “Save and Send”.


Attaching of imported waybills for import of goods, to the Transfer Order in BC

  1. To Import Waybills from RS.GE:

  2. Choose the Search icon, enter Shipping Waybills, and then choose the related link.

  3. Click the button “Load Waybills” if you want to import all the shipment waybills, or

  4. Click the button “Import by Number” to import only one waybill, using it’s unique ID (Waybill No.), which is generated on RS.GE.

  5. To attach waybills to the Transfer Order:

  6. Open desired Waybill:

  7. Fill in the fields Transfer-From and Transfer-To Codes, in line section “Shipment”

  8. In the ribbon click the button “Assign Document”, or

  9. See the section “Assigned Line”.

  10. Choose Document Type: Released

  11. Open the Document No. list

  12. Choose the desired Transfer Order (with status: Open or Released) and click on the button “OK”

  13. To check the attached Transfer Order, see the line section “Assigned Line”.


Attaching of imported waybills for the import of goods, to the Posted Transfer Shipment in BC

  1. To Import Waybills from RS.GE:

  2. Choose the Search icon, enter Shipment Waybills, and then choose the related link.

  3. Click the button “Load Waybills” if you want to import all the shipment waybills, or

  4. Click the button “Import by Number” to import only one waybill, using it’s unique ID (Waybill No.), which is generated on RS.GE.

  5. To attach waybills to the Posted Transfer Shipment:

  6. Open desired Waybill:

  7. In the ribbon click the button “Assign Document”, or

  8. See the section “Assigned Line”.

  9. Choose Document Type: Posted

  10. Open the Document No. list

  11. Choose the desired Posted Transfer Shipment click on the button “OK”

  12. To check the attached Posted Transfer Shipment, see the section “Assigned Line”.

Note. This kind of scenario happens, when a company shipped goods partially or posted Transfer Shipment document (which means creating Waybill too) and for some reason, they deleted waybill from the Posted Transfer Shipment document. Only in this case user can attach the new imported waybill to the Posted Transfer Shipment.


Automatic creation of the Transfer Order for imported goods, based on the imported waybill from the RS.GE

  1. To Import Waybills from RS.GE:

  2. Choose the Search icon, enter Shipment Waybills, and then choose the related link.

  3. Click the button “Load Waybills” if you want to import all the shipment waybills, or

  4. Click the button “Import by Number” to import only one waybill, using it’s unique ID (Waybill No.), which is generated on RS.GE.

  5. To create Transfer Order:

  6. Open the imported waybill (Type of Operation: Internal Transfer; Type: Internal Shipment)

  7. Go to the Line section “Shipment” and fill in the fields Transfer-From Code and Transfer-To Code.

  8. Go to the ribbon and click the button “Create Order”.

  9. To check the created Transfer Order, see the waybill’s section “Assigned Line”.

Note. With this business scenario, transfer code depends on fact, if Transfer-From and Transfer-To Codes have attached In-Transit Code on the page Transfer Route or not. If they are matched on Transfer Route Matrix, in Transfer Order the field In-Transit Code will come automatically from the Transfer Route page. If -not, program will search for the first Location which has been marked as “Use As In-Transit” and take it automatically.

Note. There is a limitation regarding the return option for Export and Import of Goods.


Note. Those waybills, which are not Exported to, or Imported from RS.GE, has no Waybill No.. After exporting the waybills, RS.GE confers automatically an unique ID to it and we can see the value in BC on the page Shipment Waybills or on the page Receipt Waybills

Note. Waybills on RS.GE are always in local currency. In BC we have two different pairs of fields, where the user can see the relationship between the document currency and local currency. When the amounts in document and in waybill are in GEL-field Currency code is blank, Unit Price (LCY)=Unit Price and Amount including VAT (LCY)= Amount including VAT. After we change the currency code, amounts in GEL stays unchanged (if this is an imported waybill from RS.GE) in the fields Unite Price (LCY) and Amount including VAT (LCY), but in Unite Price and Amount including VAT should appear converted amount due to the chosen currency code’s rate (rate should be taken by the date when the waybill was activated). When creating waybills in BC based on the documents in foreign currency, we don't need to change Currency Code on the waybill's card, it takes information automatically from the document.

Note. If in waybills or in the documents, which are already attached to the waybill, the user changes customer or vendor, price, amount, or quantity, it breaks the link between the document and the waybill. In the case of changing information in waybills on RS.GE, and it is already imported in BC, we can sync the information from the waybill card, on the ribbon line, by clicking the button "Load Updates".

Note. There is available the print form for the waybills in .xlsx format. User can print it from the waybill card by clicking the button “Print”.
