Employee Card scenario
An employee card is created automatically at the moment of concluding a labor contract with an employee. The card as a whole repeats the fields previously defined in the position card or the person card. This section will look at form fields that have not been discussed previously or have some special features. The General tab displays general information related to the employee, as well as connections with other system modules.
General, Address & Contact, Administration tabs
Field | Description |

Short Name | The field value is filled in to create an employee card with their last name and initials. The field value is used when generating printed forms of documents and the System Signature functionality. |
Position No. | The current position number is displayed. The value of the field is automatically changed when it is transferred to another position at the time of approval of the labor contract line of the Transfer type. |
Resource No. | The field displays the code associated with the resource employee card. The field value must be filled in manually. |
Manager No. | The field displays the manager code from the list of managers associated with the employee. The field is used when placing purchase/sale orders and must be filled in manually after creating an employee card based on a labor contract. |
Org. Unit code / Org. Unit name | Code and name of the department where the employee currently works. The fields are filled in automatically when the line of the labor contract is approved. |
Job Title code/Job Title | Code and name of the current job title of the employee. The fields are filled in automatically, after the lines of the labor contract are approved. |
Blocked | If this option is enabled, the employee's card is blocked and cannot be used. |
Tax Inspection Code | In this field you can specify the tax inspection code (if it differs from the value in the General Module Setup). |
Privacy Blocked | Selecting this option indicates whether access to data should be restricted for the data subject as part of day-to-day operations. This can be useful if you want to protect your data from changes during a privacy audit. |
The Address & Contact tab displays employee’s contact information.
The Administration tab displays information related to employee’s HR records in the organization. The form fields are filled out based on the data specified in the fields of the same name on the person card or labor contract card.
The Payroll tab displays information related to payroll.

Payroll Calc Group / Payroll Posting Group /Calendar Code | Are determined based on the data specified in the Position Card. |
Int. Fnds Sick Leave Post. Gr. | For the line of the payroll document for sick leave with the *Employer” source of payment, a posting group will be assigned according to this setting. |
Global Dimension Value 1 | Global dimension value code 1 taken from the position. |
Global Dimension Value 1 | Global dimension value 2 taken from the position. |
Max. percentage for deduction | The maximum percentage of deductions from an employee is used when calculating the payroll element of the writ of execution (Writs of Execution scenario). Values from 0 to 100. Must be filled in manually when adding a writ of execution. |
On the Payments tab, the information related to payment of salary to the employee is shown.
The Payments tab
Field | Description |

Bank Code | Create and select a bank account for the vendor. When creating an account, the card account number must be specified in the Account Bank Code field. |
Company Bank Code | Values of the bank account from which, by default, payments will be made. When generating payments, you can set enable this option (Salary Payment scenario). |
Employee Bank Code | Select from a list of employee bank accounts. |
On the Related tab of the employee card, you can call the employee’s directories and documents.

Image | Employee's photo. The image must be uploaded to the person card. |

Other information | Other information related to the employee of the organization. |
Confidential information | Confidential information related to the employee of the organization. |
Absence Orders | List of non-posted absence orders created for the employee. |
Other HR Orders | List of non-posted other HR orders created for the employee. |
Timesheets | Employee timesheets. |
Identity documents | List of documents proving the identity of the person. |
Qualifications | Information about the qualifications of the person. |
Certifications | Information about the certification of the person. |
Languages | Information about the person’s language knowledge. |
Medical information | Medical information about the person. |
Other Information Overview | Overview of other employee list information. The page allows you to view general information about employee access to a particular type of information. |
Confidential Info Overview | Overview of confidential employee list information. The page allows you to view general information about an employee’s ownership of one or another type of confidential information. |
Payroll Documents | List of non-posted payroll documents created for the employee. |
Payroll Status | The payroll status of the employee. |

Labor Contract | Card of the labor contract concluded with the employee (Labor Contract Card). |
Length of Service | The page displays the employee’s initial length of service and length of service as of the current date (the date is indicated in the As of date field). |
Vacation Balance | Vacation balance of the employee (read more in the Vacation Planning scenario). |
Employee's work record | History of personnel movements, as well as changes in essential working conditions. |
Employee Absence Operations | Employee absence operations. The data displayed on the page is filled in when posting absence orders. |
Payroll Ledger Entry | A list of payroll operations posted for the employee is displayed. Please note that the list does not contain advance payment operations. |
Vacation Orders | List of posted employee vacation orders. |
Sick Leave Orders | List of posted employee sick leave orders. |
Business Trip Orders | List of posted business trip orders. |
Other Absences | List of posted orders for other employee absences. |
Other HR Orders | List of posted other HR orders of the employee. |
Posted Payroll Documents | List of posted payroll documents. |
Archived Timesheet Statuses | List of archived timesheet statuses. |
E-labor activity | List of records for maintaining and exporting information on an employee’s electronic labor activity (read more in the E-labor activity scenario). |
Related tab, Employee Access Control Data button. The data can be used to adjust timesheet details and calculations in the payroll document.

Apply Template | Use a template to update an object with standard settings for a specific object type. |
Print – Employee Card P-2 | Generating the mandatory printed form P-2 for an employee (Employee Card P-2 scenario). |
Save as template | Save an employee card as a template that can be reused when creating new employee cards. Employee templates contain prepared information that helps you fill out employee card fields. |
Create an accountable person | Create an accountable person based on an employee card. |
A fact box and an Attachments button are available on the employee card. When you click on the number of documents on the fact box or the button, the Attached documents page will open, where you can attach external files to the employee’s record.
