Scenario 8: Time Tracking

During working hours, an employee may be at their workplace, on a business trip, on vacation, on sick leave, etc. In the system, the employee’s presence or absence at the workplace and the reason for it are recorded using time activity codes.

A Time Activity code identifies a specific reason for an employee’s presence or absence at the workplace. Time activity codes are used when creating an employee’s work schedule, generating the work time tracking sheet, and calculating payroll.

Information about the planned work schedule (the number of hours per time activity code) is stored in calendars. Calendars are created based on standard templates (weekly, monthly) or periodic templates (with a specified repetition interval).

An employee’s work time tracking and the generation of their timesheet are done automatically based on the planned calendar assigned to them. Changes to the timesheet may be made due to various types of absences (vacation, sick leave) or overtime. These changes can be entered manually or through corresponding absence orders. Manual changes are only allowed for time activity codes related to unpaid absences not requiring payment according to AE. All other types of activities (vacation, sick leave, business trips, etc.) must be recorded using the appropriate absence orders.
